Note 08
When the flight moves, the reservation has to move with it
A parked car does not care that your return was cancelled. The reservation ends on the day it says, and the gate charges accordingly.
7 July 2026Changes
This is the failure this desk sees most, and it has almost nothing to do with parking. A return gets delayed a day, nobody tells anybody, and a reservation that ended on Tuesday becomes an extra day charged at the gate on Wednesday.
The mechanics
A reservation covers a drop off and a pick up. The operator holds the bay for that span. Past the pick up day the car is still there, so the operator charges the day rate for each additional day, on collection.
Nothing about that is unfair and nothing about it is a penalty. It is the same rate you reserved. It is simply not the rate you would have got by extending in advance, and on a covered or oversized bay the difference is noticeable.
The one field that prevents it
The return flight number on the reservation form.
Give it and we watch the return. If it moves by a day, we extend the reservation before the pick up day passes, at the same daily rate, and tell the operator to expect you late. You do not have to do anything from an airport with a dying phone.
Leave it blank and we are working from a date somebody typed weeks earlier.
The four cases
| What happened | What we do |
|---|---|
| Return delayed by hours, same day | Nothing needed. The bay is yours until the day ends |
| Return delayed to the next day | We extend by a day at the reserved rate, before the reservation lapses |
| Return cancelled, rebooked later in the week | We extend to the new date, at the reserved rate for the extra days |
| Diverted to another airport | The car stays where it is. We extend and warn the operator you will be late. Getting from the other airport to the lot is yours to solve |
What we cannot do
Move the car. Nobody at this desk and nobody at the operator will drive a customer's vehicle, and no reservation here includes anybody touching it.
Refund a day already used. If the reservation ran to Thursday and you came back Tuesday, the days are the days. Ask anyway when you collect, because some operators on this corridor will credit an early return and some will not.
Fix an unpaid gate charge after the fact. Once the operator has charged an extra day at collection, that is a conversation with them; we will make the call, and our standing in it is better than yours, but the money has moved.
What to do if you are already late
Call the operator's number from your confirmation, not this desk, if it is outside our hours. They control the gate and they can note the reservation.
Then call us on +1 (415) 906-2431 at the next opportunity so the paperwork matches what actually happened. Requests are worked Monday to Thursday from 7:00 am to 7:00 pm and Friday from 7:00 am to 4:00 pm, Pacific Time. The desk is closed at weekends, and a request that lands then is answered first thing on Monday.
The whole note in one line
Put the return flight number on the form. It costs nothing, it takes four seconds, and it is the difference between an extension and a surprise.
